Bookkeeper / Office Manager

Leading commercial agriculture operation is seeking a Bookkeeper / Office Manager to oversee the accounting for these businesses consisting of multiple farms as well as a distribution facility. This family-owned farm and packing operation has grown very quickly, packaging and shipping more fruit than any other facility in the state of Florida this year.

Responsibilities:
  • Process payroll, payroll taxes and other payroll liabilities in a timely manner and ensure accuracy
  • Pay supplier invoices in a timely manner (requires approval from management)
  • Collect mail daily, and drop off items at USPS as necessary
  • Create weekly reports of all accounts and transactions for management
  • Provide clerical and administrative support to management as requested (scheduling, quotes, etc.)
  • Comply with local, state, and federal government payroll reporting and depositing requirements (weekly, quarterly, and yearly)
  • Issue invoices to customers, as well as receive payments and monthly A/R reports
  • Collect sales taxes from customers and remit them to the state government
  • Make weekly bank deposits (sometimes multiple times/week if necessary)
  • Assist in the hiring process for new and seasonal employees (entering employee into payroll software, proper filing of applications, employee file, etc.)
  • Conduct a monthly reconciliation of multiple bank accounts
  • Conduct periodic reconciliations of all accounts to ensure their accuracy
  • Ensure all worker s compensation reporting is accurate and recorded
  • Assemble information for external worker s compensation auditors for the annual audit
  • Complete company credit applications, as requested by management
  • Provide information to the external accountant who creates our company s yearly tax information
  • Issue all w2 s to employees, as well as filing with the government, yearly
  • Issue financial statements to requesting parties
  • Maintain and update the chart of accounts as necessary
  • Maintain an orderly accounting filing system
  • Maintain the office condition and arrange necessary repairs
  • Monitor office supply levels and purchase as necessary, as approved by management
  • Organize office operations and procedures, as necessary

Qualifications:
  • Minimum of 2 years' bookkeeping experience
  • Extensive QuickBooks experience
  • Strong working knowledge of Excel
  • Experience with corporate payroll/ payroll taxes
  • Experience with corporate tax returns
