Administrative Assistant (Repair Department) Job Description:

Administrative Assistant duties and responsibilities include providing administrative support to the repair technicians to ensure efficient operation of the office. Supports managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field' s concepts, practices and procedures. May direct and lead the work of others. Reports to a manager or head of a unit/department.


- Answer and direct phone calls, respond to voicemails, and manage an email queue system in a timely and professional manner

- Creating repair authorization numbers, processing purchase orders, assisting sales force in daily tasks, and processing calibration certificate requests to our parent company

- Edit technical inspection reports to ensure content is appropriately communicated and there are no spelling or grammar errors.

- Understand inspection reports to be able to explain the root causes of the failure as well as possible remedies in the future

- Communicate customer instructions and wishes to repair technicians as needed

- Generate repair quotes for customers and sales employees

- Manage repair shipments to and from customers including salespeople and assist with inventory control

- High level of attentiveness in processing orders coming from our parent company

- Ability to understand importance of stock transfers and allocations

- Follow up with customers and sales employees for units that have been repaired and are waiting on purchase orders

- Follow up with repairs with longer lead times to ensure smooth process, place repair parts orders, and double check that orders being checked in at warehouse properly at the end of each day

- Organize and schedule meetings, take accurate minutes of meetings, and research and create presentations as needed

- Assist in the preparation of regularly scheduled reports, develop and maintain a soft copy filing system, and develop and update administrative systems to make them more efficient

- Contribute to team effort by helping achieve the team s quarterly and monthly goals


- Proven administrative, office management, or assistant experience

- Excellent time management skills, ability to multi-task and prioritize work

- Ability to handle confidential and sensitive information appropriately

- Attention to detail and problem solving skills

- Excellent written and verbal communication skills

- Strong organizational and planning skills

- 2 year degree or equivalent; 4 year degree preferred
